From days of manual review to same-day KYC decisions
Major accounting & advisory firm
How Catalyst AI rebuilt corporate onboarding for a major accounting and advisory firm — same-day KYC decisions, without giving up human judgment or control.

The problem
For a major accounting and advisory firm, onboarding each corporate client meant assembling and reading a stack of source documents — corporate registry filings, annual returns, credit bureau reports, and onboarding forms — then manually keying company details into a KYC form, running screening checks by hand, and routing the result through analyst and approver sign-off by email. Individually each case was manageable; at scale it wasn't. A single corporate group could span dozens to hundreds of legal entities, each needing the same treatment — so analysts spent hours transcribing the same fields across near-identical documents, with no single view of where a case stood. The work was slow, inconsistent between reviewers, and hard to audit — exactly the wrong profile for a regulated, high-volume process.
The solution
Catalyst AI delivered a digital KYC platform built on a reusable document-intelligence and workflow foundation, pairing an AI document-intelligence engine with a configurable business-rules layer and a structured approval workflow — so the same system scales from one entity to a group of hundreds without being rebuilt. It auto-detects document types and extracts the fields that matter from digital and scanned files, de-duplicates and standardises them, submits screening automatically with no re-keying, and generates a draft KYC form; an analyst then reviews the pre-populated case in a web interface and an approver signs off, all in one system with dashboards, search, and a complete audit log. Crucially, AI never has the final word: a business-rules engine sits between the model's output and the stored result, so the firm's own logic governs what is accepted, flagged, or escalated.
The outcome
Onboarding stopped scaling with headcount. Manual data entry was all but eliminated, screening runs itself as part of the pipeline, and cases arrive pre-populated and routed through a structured workflow so analysts focus on judgment rather than typing — with every case handled the same way. Large corporate groups are processed without a rebuild, and dashboards, role-based access, and end-to-end logging give compliance teams a defensible record of every decision. The result is a KYC process that moves at the pace of the business while standing up to the scrutiny of a regulated environment.
How the platform works
Catalyst AI delivered a digital KYC platform built on a reusable document-intelligence and workflow foundation. Rather than a bespoke script wired to one document type, it pairs an AI document-intelligence engine with a configurable business-rules layer and a structured approval workflow — so the same system scales from a single entity to a group of hundreds without being rebuilt. The platform works in two connected phases.
Phase 1 — Document Intelligence Engine. A user uploads the source documents for an entity. The engine automatically detects each document type, then uses AI to extract the fields that matter — company name, nature of business, registered address, and directorships — from both digital and scanned files. Extracted data is de-duplicated, standardised, and stored in a structured database. A screening check is then submitted automatically, with no manual re-keying, and the system generates a draft KYC form and supporting attachments. Because this runs as a background batch job, an analyst can queue many entities at once and let the engine work through them.
Phase 2 — KYC Application Layer. Once processing completes, a KYC case is created automatically and the assigned analyst is notified by email. The analyst reviews the pre-populated data through a web interface, corrects or enriches anything that needs a human eye, and submits the case for approval. An approver then reviews and signs off — all within a single system, with dashboards and search giving the team a live view of every case and its status. Digital KYC forms replace the ad-hoc email trail, and every action is logged for a complete, defensible audit record.
Crucially, AI never has the final word. A business-rules engine sits between the model's output and the stored result, so the firm's own logic governs what is accepted, flagged, or escalated — and that logic can be adjusted through configuration, without touching the underlying pipeline.
Why it worked
The difference wasn't just automation — it was automation that compliance teams could trust. By keeping a rules engine between AI output and the final record, and a human approver at the gate, Catalyst AI delivered speed and scale without surrendering control. The result is a KYC process that moves at the pace of the business while standing up to the scrutiny of a regulated environment.
How we delivered it
A staged approach designed to operationalise AI with real governance rather than a one-off demo.
- 01
Align
Define the workflow owner, success metrics, and the systems and knowledge sources involved.
- 02
Govern
Set what the AI can and cannot do, classify data, map role-based access, and establish logging and traceability requirements.
- 03
Build
Configure the agent workflows and retrieval, create UAT test scripts, and run an internal QA and tuning loop.
- 04
Validate
Pilot with real users and run UAT against access controls and expected outcomes.
- 05
Operate
Monitor performance, capture feedback, and maintain an ongoing improvement roadmap.
// Compliance and risk stakeholders shaped the guardrails before go-live, not after.
The results
Manual data entry all but eliminated
Fields analysts once transcribed by hand are now extracted, standardised, and populated automatically.
Screening runs itself
Checks are submitted automatically as part of the pipeline, removing a manual, error-prone step.
Faster, more consistent decisions
With cases pre-populated and routed through a structured workflow, analysts focus on judgment rather than data entry — and every case is handled the same way.
Built for scale
The platform processes large corporate groups without a rebuild, so onboarding volume no longer scales with headcount.
Audit-ready by design
Dashboards, role-based access, and end-to-end logging give compliance teams a defensible record of every decision.
